Add a one-off management fee when the owner should be charged an amount payable to your management business. The entry belongs to the property, rather than a particular booking.
Use the right type of expense
Use Add Management Fee for an amount payable to management. Use Add Invoice for a supplier paid from trust, or Add Booking Charge when the charge must be attached to a booking.
On this page: Before you start · Add the property fee · Check the owner report
Before you start
- Confirm the property, agreed fee amount, date and what the fee is for.
- Check the existing property statement and owner report so you do not repeat a fee already generated by a global rate, contract or recurring schedule.
- If the charge should repeat, use Recurring charges rather than entering the same fee manually each time.
Add the management fee
- Go to Transactions > Add Management Fee.
- Select the correct Property.
- Choose the appropriate Fee Type. Use the comment to explain the actual service rather than selecting an unrelated fee just to obtain a target balance.
- Enter the Amount and Date. Check the tax-inclusion setting against the agreed fee.
- Review the Status. Use Active when the charge is ready to be included; use an available pending option only when it should await further confirmation.
- Add a clear Comment Or Deposit Reference. Review any email-notification option and select Save.

Check the result
| Where to check | Expected result |
|---|---|
| Property statement and owner Booking Report | The property-level charge appears with its description, separate from booking-specific charges. |
| Owner remittance | The fee reduces the owner’s amount available for payout, subject to the property’s other balances and held items. |
| Management fees/disbursement | The charge is included in the management amounts to be disbursed. Saving it does not make a bank payment. |
Use View and check an owner statement to trace the entry, then follow Disburse property funds when the report and balances are correct.
Entered the wrong fee? Find the specific transaction and use the supported correction process. Contact support before changing an entry already reconciled, disbursed or in a closed period. Do not add a second opposite entry simply because you cannot explain the first one.
