Link a newly imported or initially unassigned property to its existing owner contact. Some PMS integrations create the property and bookings before the owner details have been entered in BookingTrust.
Initial setup and ownership changes use different processes
Use these steps while the property is still assigned to the manager or needs its initial owner allocation. If it already belongs to an owner and ownership has changed, use Change a property’s owner.
On this page: Before you start · Link the owner · Check the setup
Before you start
- Find the correct property using its property number, reference or address. Match it to the source PMS if it was imported.
- Search Contacts > Owners for the intended owner. Add the owner contact first if required.
- Use the existing owner contact for an owner with several properties. Do not create another owner simply to link a second property.
Link the property to the owner
- Go to Active Properties and find the property.
- Open its edit screen using the property-number link or More Details > Edit.
- Check the Owner selection and select the correct owner contact.
- Select Save and return to the property listing. Check that the owner’s name now appears on the intended property.
Check the setup before paying
- Open the owner from the property and verify that it is the intended contact.
- Add/check the owner’s bank details and any property-specific bank account.
- Review property fees and the owner statement or Booking Report before disbursement. Linking an owner does not release bookings or send a bank payment.
I cannot select a different owner. What now?
Once a property has a real owner allocated, ordinary editing may not let you reassign it. For a genuine ownership change, follow the dedicated Change Owner process. If the initial allocation was wrong, contact support before changing records.
The bookings arrived before the owner record. Have they been lost?
Property/booking imports and owner setup are separate. Find the existing property and bookings, complete the owner allocation and review their records; do not recreate bookings just because an owner was not yet linked.
