Record services paid from the trading account

Record an approved charge to the owner for services your business paid from its trading account. BookingTrust records this as a management fee or charge for the property so the amount can be included in the owner’s next reviewed Booking Report.

Before you start

• Identify the property, service, original supplier invoice and payment made from trading.
• Confirm the amount approved to be charged to the owner.
• Check that the same cost has not already been charged through another fee or supplier invoice.

Record the owner charge

1. Go to Transactions > Add Management Fee.
2. Select the property. For a property-level service reimbursement, leave it unattached to a booking.
3. Under Fee Type, choose Admin Fee for the service charge. If your account uses different fee types, confirm the appropriate configured type before saving.
4. Enter the amount and correct transaction date. Check the tax-inclusive setting for the charge.
5. Use Comment Or Deposit Reference for a clear service description and invoice/reference details. Explain that the service was paid from trading.
6. Check the details and select Save.

Check the owner’s report

Open the property’s Booking Report under Trust Account > Disbursements. Check the service charge, amount and description, and confirm that it appears once against the correct property.

The amount is included with the business’s fees or charges in the normal reviewed disbursement process. Follow Disburse property funds and complete any resulting bank payment separately.

Common questions

What if the supplier is to be paid from trust?
Use Add a supplier invoice for that payment. Check the funding account before choosing the workflow.

Why is the service shown as a fee or charge?
It is an amount owed to the property manager. The comment explains the underlying service on the owner’s report.
