Newbook’s BookingTrust connection uses a setting on each relevant General Ledger (GL) account to indicate whether its charge is payable to the owner. Check the setting for every charge type before relying on the resulting allocation.
Check the mapping before reconciling bookings
A GL account set to the wrong owner-payable value can affect how its charges are classified in BookingTrust. If the BookingTrust field is missing, confirm that the connection is enabled with Newbook support.
Review the BookingTrust setting in Newbook
- In Newbook, search for GL Accounts and open the GL account you want to review.
- Find the BookingTrust owner-payable setting. Depending on the account version, it may appear as BookingTrust: payable to Owner or BookingTrust to pay owners.
- Set it to Yes when that charge is payable to the owner. Set it to No when it is not payable to the owner and is retained by management.
- Repeat for each relevant GL account, including guest extras and accommodation-related charges. Do not assume the default value is correct for every account.

For example, if cot hire is retained by management under your arrangement, its GL account should not be marked payable to the owner. Check your management agreement and accounting treatment when an item’s destination is unclear.
Check the result in BookingTrust
After the Newbook settings are checked, reconcile a completed booking and review how its charges and payments appear in BookingTrust. Confirm the owner and management allocations before confirming the booking. See How a Newbook booking moves through BookingTrust.
If an account’s owner-payable setting or its effect is unclear, ask Newbook to confirm the GL mapping. For a booking that still does not match after the mapping is confirmed, contact BookingTrust support with the booking reference and GL account name.
