For a Newbook-connected account, BookingTrust receives booking and payment information, then reconciles the booking’s charges and payments against Newbook. Once a completed booking is checked and confirmed, its funds can move into the property’s disbursement workflow.
Follow a booking through the workflow
- Find the booking. Use Bookings > All for all bookings, or Bookings > Active for current and future bookings.
- Review completed bookings. A booking that has checked out and needs attention appears under Bookings > Unconfirmed.
- Reconcile the booking. BookingTrust uses the Newbook GL account settings to classify charges. Before reconciliation, some records may show an accommodation amount and received funds without the individual charges and payment types identified. Select Reconcile on the booking when you need to compare it with the latest Newbook information.
- Check the result. Compare the charges, payments and balance with the booking in Newbook. Confirm the owner-payable GL settings if a charge is allocated unexpectedly. See Check Newbook GL code settings.
- Confirm when complete. When the guest has checked out, the booking is fully paid, and all charges and payments are correct, confirm it to release the funds for the property’s disbursement workflow. See Review and confirm an unconfirmed Newbook booking.
Review later changes
If a confirmed booking receives further changes or transactions, it may appear in Check Booking. Reconcile the updated booking with Newbook and review the changes before confirming it again.
Automatic reconciliation is available for live accounts. If you need to check a booking before the next automatic run, use Reconcile. The demo account does not import new bookings; see Using your Newbook demo account.
