Manually record an Airbnb payment resolution only when it has not already been imported or recorded in BookingTrust. This guide covers a resolution that adds money for the owner or deducts money from the owner.
Record the actual resolution once
Use Airbnb’s resolution/payout information to establish the amount, direction and property. If the entry is already recorded or included in an imported payout, investigate before adding another receipt or refund.

Choose the correct transaction type
| What the resolution does | Transaction type |
|---|---|
| Adds money for the property owner | Owner Contribution. |
| Deducts money from the property owner | Refund. |
Use this distinction for an owner resolution. If the amount belongs to your management business, relates to guest charges, or should be allocated differently, check with support before recording it against the owner. If the required type is unavailable, ask support before saving.
Record the resolution
- Go to Trust Account > Add Transaction.
- Select the correct Property.
- Under Transaction, choose Owner Contribution or Refund according to the direction shown in the table above.
- Enter the resolution Amount and Date. Under Payment Details, check the Bank Account and Method against how the resolution was actually received or paid.
- Add the resolution/payout reference and a short explanation in Comment Or Deposit Reference. Review the transaction Status and any email-notification option, then select Save.
Check the result
- Open the property’s Statement and check that the transaction has the correct direction, amount, date and reference.
- Review the owner report to understand how the amount affects the property’s next payout. See View and check an owner statement.
- Match the record to the relevant Airbnb payout and bank activity using your reconciliation process. Saving the transaction does not confirm that money moved at the bank; see Daily bank reconciliation.
Common questions
Does selecting Refund send money back to Airbnb or the guest?
No. This records the financial transaction in BookingTrust. Any actual refund or payment must be handled through Airbnb or your bank as appropriate.
What if the resolution is already part of an imported payout?
Check the existing transaction and payout breakdown first. Do not add a second manual entry to represent money that has already been recorded. Ask support if the allocation or payout total is unclear.
What if I used the wrong property or transaction type?
Keep the Airbnb reference and identify the BookingTrust entry. Contact support before changing a reconciled record, a closed period or an amount already included in a disbursement.
