Add an individual staff account so each person uses their own login and their work can be identified in the transaction history. Check the intended access and invitation settings before they begin using the account.
Staff access covers business records
Do not assume a staff account is limited to selected properties or tasks. The staff profile can offer Full Access or Read Only. Review the access required for the person and check any subscription charges before adding them.

Create the staff record
- Go to Contacts > Add Contact.
- Select Staff Member as the account type.
- Enter the person’s own email address and name. Check for an existing contact before creating another one.
- Review Don’t Invite. Leave it selected if you are preparing the record and are not ready to send an invitation. Clear it if you intend to send the invitation when you save.
- Check the details and select Save. Open the saved profile.
The example shows the invitation enabled. Check your actual form: Don’t Invite may be selected initially.
Check the staff member’s access
- Open the saved staff profile and select Edit.
- Where the Access field is available, choose the intended Full Access or Read Only setting.
- Save, then check the staff member’s access before they begin working.
If you need restricted access configured before the first login, leave Don’t Invite selected while preparing the record. If the required access control is unavailable, check the setup with support before inviting the person.
Complete the invitation
When an invitation is sent, the staff member receives an email link to complete registration. Saving a record with Don’t Invite selected does not send that invitation.
If the email does not arrive, check the saved address and whether an invitation was sent, then ask the recipient to check spam or junk. If the record was deliberately created without an invitation, contact support@bookingtrust.com.au if you need help sending it after setup. Avoid creating a second staff record to retry.
Check who made a transaction change
Use Logs > Transaction Log to review recorded transaction activity. Individual staff logins help identify who entered or changed records and when; shared logins do not provide that individual attribution.
